AEM Academy respects your privacy and is committed to protecting the personal information we collect, use, and disclose through this website. This Privacy Policy explains what information we collect, why we collect it, how we use and share it, how we protect it, and the choices available to you. Essential cookies may operate because they are required for website, account, cart, checkout, and security functions. Statistics and marketing cookies are used only according to the choices you make through our cookie banner. You may change or withdraw those choices at any time using the cookie settings button. Please also review our Cookie Policy. In this Policy, “AEM Academy,” “we,” “us,” and “our” refer to AEM Academy; “you” refers to a visitor or user of the website.

WHAT INFORMATION DO WE COLLECT?

Personal information is information about an identifiable individual. Depending on how you interact with AEM Academy, we may collect your name, email address, telephone number, mailing or billing address, account and login information, order and transaction details, appointment information, communications with us, and the student information described in the Children’s Privacy section. We may also collect technical information—such as IP address, browser and device details, cookie identifiers, pages visited, referring URLs, and campaign information—when that information identifies you or can reasonably be linked to you.

We collect information directly when you complete a form, request an assessment, enrol in a program, create an account, make a purchase, submit student work, participate in a class, communicate with us, or otherwise use our services. We also collect information automatically through server logs, essential website technologies, and any statistics or marketing technologies you choose to allow. Service providers may give us information needed to complete transactions, deliver courses, provide communications, maintain security, or support the website.

Payment-card information is processed by Stripe. AEM Academy receives payment status and related order or billing information but does not receive or store your complete payment-card number.

We may create aggregated or de-identified information for reporting, security, research, and service improvement. If information can reasonably identify or be linked to an individual, we treat it as personal information rather than assuming it is anonymous.

ARE COOKIES OR OTHER TECHNOLOGIES USED TO COLLECT PERSONAL INFORMATION?

Yes. We use cookies and similar technologies, including pixels, tags, and web beacons. Essential cookies support security, account login, course access, forms, consent preferences, the WooCommerce cart and checkout, and Stripe payment and fraud-prevention functions. These technologies may operate without optional consent because they are necessary to provide requested website functions.

With your permission, we use statistics technologies, including Google Analytics and WooCommerce Sourcebuster, to understand website traffic, referral sources, and how visitors use the website. With your permission, we also use marketing technologies, including Meta (Facebook) Pixel and Conversions API, PixelYourSite, and Thrive Leads, to measure advertising and campaign performance, attribute conversions, and manage lead-generation forms.

Depending on the service and your interactions, these technologies may process information such as your IP address, browser and device details, pages visited, referring URLs, campaign parameters, website interactions, purchase or conversion events, cookie identifiers, and identifiers supplied through forms or checkout. Some identifiers may be transformed into a hashed form before being transmitted to an advertising platform.

Non-essential statistics and marketing technologies remain disabled until you choose to allow them. You may select Accept All, Reject, or Preferences on the cookie banner and may later change or withdraw your choices using the cookie settings button. HOW DOES AEM ACADEMY USE PERSONAL INFORMATION?

AEM Academy uses personal information to:

  • respond to inquiries and provide writing assessments;
  • enrol students, deliver classes and course materials, review student work, provide feedback, and track progress;
  • create and administer accounts, purchases, payments, refunds, and customer support;
  • send operational communications and, where permitted by consent or applicable law, promotional communications;
  • operate, secure, troubleshoot, analyze, and improve our website, courses, products, and services;
  • prevent fraud, misuse, security incidents, and violations of our terms;
  • protect the rights, safety, and property of AEM Academy, our students, customers, and others; and
  • meet legal, regulatory, accounting, and contractual obligations.

We may combine information collected through different interactions when reasonably necessary for these purposes. We treat combined information as personal information when it identifies or can reasonably be linked to an individual.

We retain personal information only as long as reasonably necessary for the purposes described in this Policy, including educational, customer-service, legal, accounting, security, and dispute-resolution requirements. When information is no longer required, we delete it, securely destroy it, or de-identify it as appropriate.

DOES AEM ACADEMY SHARE PERSONAL INFORMATION WITH OTHERS?

AEM Academy may disclose personal information to service providers that help us operate our website and educational services. Depending on the service you use and your consent choices, these providers may include:

  • website hosting, database, backup, security, and technical-support providers;
  • account, course-delivery, learning-management, scheduling, video-conferencing, email, and communications providers;
  • WooCommerce and Stripe for orders, payments, refunds, and fraud prevention;
  • Google Analytics and WooCommerce Sourcebuster for consented website statistics and attribution;
  • Meta and PixelYourSite-supported integrations for consented advertising measurement, campaign attribution, and conversion reporting;
  • professional advisers such as accountants, insurers, auditors, and legal counsel; and
  • government bodies, regulators, courts, law enforcement, or other parties when disclosure is required or permitted by law or reasonably necessary to protect rights, safety, and security.

We may also disclose information in connection with a proposed or completed sale, merger, financing, restructuring, or transfer of all or part of our organization, subject to appropriate confidentiality and legal requirements.

Some providers may process information outside Canada, including in the United States or other jurisdictions. Information processed elsewhere may be subject to the laws of those jurisdictions and may be accessible to courts, law-enforcement agencies, or national-security authorities as permitted by local law.

AEM Academy does not sell personal information for money. However, disclosures to analytics or advertising providers may be treated as a “sale,” “sharing,” or targeted advertising under some privacy laws even when no money is exchanged. You can prevent or withdraw consent for non-essential statistics and marketing technologies through the cookie banner or cookie settings button.

HOW IS PERSONAL INFORMATION USED FOR COMMUNICATIONS? 

We use contact information to respond to inquiries, provide writing-assessment prompts, schedule assessments and classes, deliver course information, administer accounts and orders, issue payment or service notices, provide support, and send security-related communications. These operational messages are necessary to provide services you request.

We send promotional emails or other commercial electronic messages only when you have opted in or when we otherwise have consent or permission under applicable law. Marketing messages will identify AEM Academy and include a working unsubscribe mechanism. You may withdraw marketing consent at any time by using the unsubscribe link or contacting us. Opting out of promotional messages will not prevent us from sending necessary account, transaction, course, security, or service communications.

Email and other Internet communications are not completely secure. Please do not send highly sensitive information through ordinary email unless we have provided a secure method.

HOW IS PERSONAL INFORMATION SECURED? 

AEM Academy uses reasonable administrative, technical, and physical safeguards appropriate to the nature and sensitivity of the information we handle. These safeguards may include access restrictions, password and authentication controls, encryption in transit, backups, software updates, security monitoring, and service-provider requirements. Access is limited to people and providers who need the information for authorized purposes.

No website, storage system, or Internet transmission can be guaranteed completely secure. If we identify a security breach, we will take reasonable steps to contain and investigate it and will notify affected individuals and privacy regulators when required by applicable law.

YOUR PRIVACY RIGHTS AND CHOICES

Subject to applicable law and reasonable verification of your identity, you may request access to the personal information AEM Academy holds about you, ask how it has been used or disclosed, request correction of inaccurate information, withdraw consent where our processing relies on consent, and request deletion where applicable. Deletion and consent withdrawal may be limited by legal, accounting, security, contractual, or legitimate educational-record requirements and may affect our ability to provide certain services.

You may manage statistics and marketing cookies at any time using the cookie settings button. You may unsubscribe from promotional email using the link in the message or by contacting us.

Send privacy requests to janw@aemacademy.ca. We may request information reasonably necessary to verify your identity and authority to make the request. If we cannot fully satisfy a request, we will explain the reason where required by law.

If you have an unresolved concern, you may also contact the Office of the Privacy Commissioner of Canada or the privacy regulator responsible for your province or territory.

CHILDREN’S PRIVACY

AEM Academy provides educational services to children and teenagers, and some students may be under 13. When a parent or guardian enrols a student or authorizes the student’s participation, we may collect personal information reasonably necessary to provide and administer our educational services. This may include the student’s name, age or grade, account and contact information, writing samples, assignments, teacher feedback, course progress, communications, and audio or video recordings of online classes where applicable.

For a child under 13, a parent or guardian must provide consent and manage the child’s account and privacy choices. Students should not create an account or submit personal information without the permission of a parent or guardian where parental consent is required.

We use student information to deliver instruction, review and respond to student work, track progress, communicate with students and parents, administer accounts and payments, maintain security, and comply with legal obligations. We disclose it only to service providers that help us operate the program, as otherwise described in this Policy, or when required by law.

A parent or guardian may request access to, correction of, or deletion of a child’s personal information by contacting janw@aemacademy.ca. Some information may need to be retained for legal, accounting, security, or legitimate educational-record purposes. Parents and guardians should also manage the cookie choices on devices used by children.

CHANGES TO THIS POLICY

Effective date: August 20, 2026.

We may update this Privacy Policy to reflect changes to our services, technologies, practices, or legal obligations. We will post the revised Policy on this page and update the effective date. If a change materially affects how we collect, use, or disclose personal information, we will provide additional notice or obtain consent where required. Continued use of the website does not, by itself, authorize a new collection, use, or disclosure for which applicable law requires consent.
